ApplyHub ("we", "our", "us") collects, uses, stores, and discloses personal information when you create an account, complete a rental application, or use our website and services.

- Residential and rental history (including current and previous addresses, tenancy dates, and reasons for leaving)

- Household and application details (including occupants, co-applicants, lease preferences, and notes provided during the application process)
- Referee contact details (such as name, relationship, email address, and phone number) where you choose to provide references
- Uploaded documents and supporting materials, such as government-issued identification (for example, a passport or driver's licence), proof of income, bank statements, and other files you choose to upload
- Account sign-in details when using Google Sign-In (including name, email address, and profile picture)
Some supporting documents may be optional depending on the stage of the application process or agency requirements.
You should ensure you have permission from referees before providing their contact information through ApplyHub.
Some information collected through ApplyHub, such as government-issued identification and financial documents, may be sensitive or high-risk personal information. We only collect this information where you provide it for your tenancy application, verification, or related operational purposes.
ApplyHub is intended for users aged 18 years and over.
How we collect and hold information
We may collect personal information when you:
- Register or sign in to ApplyHub
- Use email/password authentication or Google Sign-In through Firebase
- Complete application forms on our website
- Upload documents during an application or verification step
- Contact us by email or through support channels
- Interact with our platform and services
Information is held within our systems and secure cloud infrastructure. Application data is primarily stored in Australia using AWS Sydney region infrastructure, although some service providers may process limited information outside Australia.
We take reasonable technical and organisational steps to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure. These measures may include secure cloud storage, access controls, authentication controls, and restricted internal access processes.
Why we use and disclose information
ApplyHub acts as a platform that facilitates tenancy application processing between applicants and participating real estate agencies or property managers.
We may use personal information to:
- Create and manage your ApplyHub account
- Allow you to prepare, manage, and submit rental applications
- Share your application with participating real estate agencies and property managers for properties you apply for
- Communicate with you regarding your account, applications, or support requests
- Verify information and supporting documentation where required
- Operate, maintain, improve, secure, and support our platform and services
- Detect, investigate, or prevent fraud, misuse, security incidents, or unlawful activity
- Comply with legal, regulatory, or operational obligations
We may disclose personal information to:
- Real estate agencies and property managers associated with listings you apply for
- Once information is disclosed to participating real estate agencies or property managers as part of an application, those parties may separately collect, use, store, and handle information in accordance with their own privacy practices and legal obligations.
- Service providers that assist us in operating the platform, including hosting, authentication, document storage, and communication providers
- Professional advisers, regulators, law enforcement authorities, or government agencies where required or authorised by law
We do not sell personal information.
ApplyHub does not use automated decision-making, tenant scoring, or ranking systems to determine rental outcomes.
Overseas disclosure
Application data is primarily stored in Australia. Some service providers used by ApplyHub may process or store limited information outside Australia, including in the United States (for example, Google/Firebase authentication services).
Where personal information is disclosed overseas, we take reasonable steps to ensure recipients handle information in a manner substantially consistent with the Australian Privacy Principles, including through contractual protections and appropriate provider assessments where reasonably practicable.
Google Sign-In
Our use of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.
Google account information is used only for authentication and account profile functionality, such as pre-filling profile details. We do not sell Google user data or use Google user data for advertising purposes.
Access, correction, and deletion
You may request access to the personal information we hold about you, request correction of inaccurate information, or request deletion of your account and associated information.
Certain information may also be removable through available platform features.
We may need to verify your identity before processing requests relating to personal information.
We will respond to privacy requests within a reasonable period and in accordance with applicable Australian privacy laws.
Retention and deletion
We retain personal information only for as long as reasonably necessary to:
- Provide and support our services
- Maintain platform security and integrity

Following completion of a tenancy application process, application information and uploaded supporting documents may be deleted or de-identified. Limited account information, such as name and email address, may be retained for account management, fraud prevention, security, legal, compliance, and record-keeping purposes.
